How BoomPop Plans Last-Minute Retreats

At BoomPop, we always advocate for companies to begin planning and researching for their retreats and events several months in advance. However, we do not live in a perfect world. You may work at a company that is growing quickly and wants to celebrate next month! Or you may have been asked to plan an emergency offsite to get your team strategizing for the next quarter! Nothing is perfect, because we are human.

And at BoomPop, anything is possible! We have planned retreats within one month and within one week. We know how to utilize our team for maximum speed.

What allows us to do this is our connection to hotels and our many years of experience understanding which locations are best based on where your company is located.

So, if you have found yourself needing support with your last-minute event, we have your back! This is how we would get started:

Prioritize Drive Destinations

We would first see where everyone on your team is located. If your team is all very close together, we might even suggest an area outside of where you live where you can drive. We call those, “Drive Destinations.”

You get to do something outside of your city but not worry about the logistics of travel to somewhere further away.

Identify Major Airports

If your team isn’t located within close proximity, we would then assess where everyone at your company is flying in from. When you have colleagues flying from all over the world, we would help you choose destinations with major airports. This takes out some of the legwork of unique travel arrangements for all of your guests. There may not be time for that.

Find Flexible Dates

We would then go over the dates you are looking at. When it comes to the dates of a last-minute retreat, being flexible with check-in and check-out will mean you may be able to choose a nicer location that you had your heart set on over something that isn't already booked and that you are less excited about.

This may mean having your team fly in on a Sunday for check-in instead of flying and checking in on a Monday. Since many hotels have guests leave on Sundays, this is the perfect time to check in when you are really set on a specific hotel or location.

Leverage Prior Hotel Connections

We would then tap our hotel connections based on where you would want to travel. At BoomPop, we have event industry experts and hotel connections all across the globe. We have these connections from the many partnerships we have created from planning countless retreats.

Planning becomes much easier when you can easily call up a business colleague and ask them if there is space within their hotel for a group of 30 guests next week, instead of going through the layers of contacting and finding support through a hotel website.

This goes one step further. Since we already know these properties so well, we are more easily able to quickly plan meals and outings and get to hotel contract signing. A plug and play.
